User Management
One of the main advantages of using the Reseller License Portal is the ability to provide management rights to your customers.
This means the customer will be able to self-manage their key without the assistance of Reseller support or LightBurn support.
Note: Resellers will only have access and visibility to users created within the scope of the Reseller License Portal. Resellers cannot create users who already have LightBurn and, therefore, cannot assign them a license.
To provide customers with management rights, there are 3 steps:
a) Create a user account
b) Assign a License Key to a user
c) Provide the user with instructions
User Account Creation
a) on the Main menu - click "Users"

b) Click the blue "Create" button.

c) A "Create User" form will open. Most information is pre-filled; however, a couple of points are essential:
- Password should be auto-generated with the right-hand side button "Generate Password".
- Note: This password will not be shared with the customer. As the first step, the customer will be instructed to reset their password.
- The role should always be "user".
- The company field can be used for categorization, if necessary. However, it can be left blank. This field can be used to note whether a user is from a school or a business.
- Organizations can be used, but they are outside the scope of normal management and should be left empty. Contact Support@LightBurnSoftware.com for more information.
- "Allow Customer Portal Access" must be left checked.
d) Once all fields are complete, click the "Create" button.

Note: If you see the "Email is already taken!" error when creating a User, the user is already registered as a LightBurn customer. Only LightBurn Support staff can assign the license key. Please contact us with the assignment request via Support@LightBurnSoftware.com.

License Key Assignment
a) On the Main menu, click "Licenses".

b) Click the "Add Filter" button top right corner - and select "License Key".

c) Type or copy/paste the License Key into the "value" field and click the "Apply Filter" button.

d) Notice that at the top of the screen, the "Active Filter" will be identified as License ID and not License Key.
On the right-hand side, click the "Actions" 3-dot button, then click the "Edit" button.

e) Click the "X" button on the "undefined" "User" to clear the license user field.

f) Start typing the user's email or name in the "User" field, and the available users will be populated. Click and select the correct user, then click the "Update" button.

Provide the Customer with Instructions
We recommend contacting the user with the following instructions. Please feel free to use the information below as a template.
Hello {Customer}
We have assigned your license key ----------------------------------------------- to your email address: _____________.
You can now use the LightBurn License Portal to view your License Key(s) and manage your activated computers, as explained here: https://docs.lightburnsoftware.com/latest/Licensing/LicenseManagement/
To access the License Portal for the first time, you must first create a new password.
This step is mandatory and can be done here: https://lightburn.customer.cryptlex.com/auth/forgot-password
If you have any issues, please let us know.
License Management
The typical use case for Reseller Portal management will be to help manage user license activations.
While users can be assigned, they will tend to get in touch for support on these types of management actions and changes on the computers activated under the License.
Activations Management
a) On the Main menu, click "Licenses".

b) Click the "Add Filter" button in the top right corner, and select "License Key".

c) Type or copy/paste the License Key into the "Value" field and click the "Apply Filter" button.

d) Notice at the top of the screen, the "Active Filter" will be identified.
On the right-hand side, click the "Actions" 3-dot button. and click the "View Activations" button

The action above will bring you to a list of all the Activations under a given License Key.
By default, each LightBurn License allows up to 3 activations, but this number can be higher.
The customer might request that a given computer be deactivated, or the customer may inquire about the inability to activate a new computer.
In this last case, the customer typically forgot to deactivate older activations. In the example below, both Burns and Laptop activation Hostnames are very old and can be safely removed.

e) On the right-hand side, click the "Actions" 3-dot button, then click the "Delete" button

Note: Each license key has, by default, 15 allowed deactivations. This is not a strictly enforced limit, but only LightBurn Support staff can increase this value. If a customer's License Key reaches the Maximum Deactivations, don't hesitate to get in touch with Support@LightBurnSoftware.com.
Offline Activation Generation
A common request from customers is the ability to activate their computers that are not connected to the Internet.
We provide a short step-by-step instruction set that can be used when communicating with the user:
Follow these steps:
- Enter your license key number in the License Management window in LightBurn. (Help > License Management).
- Click the "Request Offline Activation" button.
- It will prompt you for a file name.
- Save the OFR (offline request) file.
- Copy the OFR file to a computer or device with internet access.
- Email me the OFR file, along with your license key number.
The OFR file contains your computer's fingerprint. We process the request here and send back a response file. You then:
- Copy the response file to the offline computer.
- Unzip the file so you have access to a .dat file.
- Run LightBurn again.
- Enter your license key number in the License page of the software.
- Click "Process Offline Activation".
- Choose the response file you were sent and click OK.
a) On the main menu, click "Activations".

b) Click the "Create Offline" button.

c) Type the License Key in the field and click the "upload" file to import the OFR file provided by the customer.

d) Click the "Activate" button to process the Offline Request.

e) If successful, you will be presented with a "Task Successful" and must click the "Download" button to proceed.

f) This will prompt you to download a file similar to the following (note that the file will contain the license key): offlineResponse_7A478E-286C87-49E6BD-BA87A5-1B9F60-07CE8E.dat.
Save this file in a safe location and send it to the customer.
Note: Most, if not all, email clients will reject the .dat format file. Before sending it to the customer, zip the file using a compression utility.
The customer should be instructed to unzip the file before using it in the License Manager in LightBurn.
Offline Activation Troubleshooting
INVALID_LICENSE_KEY Error - This means that the license key was entered incorrectly. Please copy and paste the full key into the software, or, if you are unable to do so, then you must enter it exactly, keeping the following in mind:
You need the dashes, there can’t be any spaces, the letters have to be uppercase, and some letters and numbers look like each other:
- The letter B (Boy) might like the number 8 (eight).
- The number 1 (one) might look like the letter I (Indigo), but remember that’s not a valid letter in a key.
- The number 0 (zero) might look like the letter O (Oscar), but again, that’s not a valid letter in a key.
Invalid Token: This means the OFR provided by the customer does not match the expected hardware fingerprint. This commonly happens when the customer generates the OFR on one computer and attempts to activate it on another.
Offline Deactivation
This process is only useful when a customer wants to deactivate a computer but is unaware of how to verify the hostname.
In effect, it only makes sense to request when the user's License Key has a high number of seats. Otherwise, the old activation should be easily identified on the License Activations List.
Still, some customers do use this method, so it is important to be covered.
The customer will provide the very same steps as for offline activation, but click on Offline Deactivation instead. Also, the file provided will not be a .OFR in extension but a simple .txt file.
a) On the main menu, click "Activations".

b) Click the "Delete Offline" button.

c) Type the License Key in the field and click the "upload" file to import the .txt file provided by the customer. Finally, click the "Delete" button.

Note: No file is created, and no steps are required for the customer to follow. The customer will have their offline Deactivation executed locally by closing and reopening LightBurn.
The Delete Offline activation process is mostly a housekeeping operation.
